Days/Time: Virtual, Mon./Friday & In office: Tues., Wed & Thurs.
Flexible Event Schedule: Two evenings a month and an occasional weekend

Position Summary
The Minnesota Black Chamber of Commerce is seeking two highly organized, service-oriented Office & Events Coordinators to support the daily operations. These individuals are responsible for delivering administrative, membership, and event support while helping execute the Chamber’s statewide initiatives. These positions serve as the primary point of contact for members, partners, sponsors, vendors, and guests and ensure every interaction reflects the professionalism and excellence of the organization.
Working collaboratively, the two coordinators will share responsibility for office operations,
member engagement, executive support, event execution, and program administration.
Responsibilities and lead assignments may shift throughout the year based on organizational priorities.
Executive & Administrative Support
• Support the President & CEO with administrative projects and special assignments.
• Coordinate calendars, meetings, and appointments.
• Prepare agendas, presentations, meeting materials, and board packets.
• Draft correspondence and maintain confidential records.
• Assist with board and committee meeting logistics.
Events & Program Coordination
Coordinate logistics for Chamber events including:
• Renaissance Reimagined Gala (August)
• Black Entrepreneurs Summit & Expo (November)
• Annual Meeting (March)
• Monthly Membership Mixers (2nd Thursday)
• Educational Workshops (Monthly)
• Statewide Summits (Quarterly)
• Business Cohorts (Quarterly)
• Community Partner Events (MLK Day, Black History Month & Juneteenth)
• Table and exhibit occasionally
Responsibilities include:
• Vendor management
• Registration management
• Guest communications
• Sponsorship fulfillment
• Volunteer coordination
• Event timelines and production schedules
• Name badges and event materials
• Room layouts and seating charts
• Audio/visual coordination
• Catering coordination
• Event setup and breakdown
• On-site event management
• Post-event evaluations and reporting
Membership Services
• Respond to member inquiries promptly and professionally.
• Process membership applications and renewals.
• Maintain accurate membership records within the CRM.
• Coordinate new member onboarding.
• Prepare membership reports and directories.
• Support member communications and newsletters.
• Assist members with event registrations and Chamber benefits.
• Maintain exceptional customer service standards.
Program Administration
Responsibilities include:
• Registration management
• Attendance tracking
• Participant communications
• Survey collection
• Program material preparation
• Grant documentation support
• Database maintenance
• Reporting assistance
Financial & Administrative Support
• Process invoices and purchase requests.
• Track vendor contracts and agreements.
• Submit reimbursement requests.
• Support accounts payable documentation.
Marketing & Communications Support
• Coordinate event communications.
• Assist with newsletters and email campaigns.
• Support social media content during programs and events.
• Maintain marketing collateral inventory.
Qualifications Required
• Minimum of three years of administrative, office management, nonprofit, hospitality, or
event coordination experience.
• Exceptional organizational and project management skills.
• Excellent verbal and written communication skills.
• Strong customer service orientation.
• Ability to prioritize multiple projects simultaneously.
• High level of professionalism and discretion.
• Proficiency in Microsoft Office 365.
