Position Title: Office Support Specialist (Part-Time, 20–25 Hours)

Days/Time: In office: Tues., Wed & Thurs. 9am to 4pm, Virtual, Mon./Friday Flexible hours

Flexible Event Schedule: As need: Some evenings/weekends Open Potential to be full-time with benefits after 90 days, supporting shared services of the workstream in same/similar capacity.

Position Overview
This is a part-time on-site role for an Office Support Specialist located in the downtown St. Paul. The Office Support Specialist will serve as a central point of coordination across administrative functions, membership services, and events. This individual must be detail-oriented, responsive, and capable of managing multiple priorities while maintaining a high standard of execution They will support the team and contribute to the smooth functioning of the organization’s daily activities, while maintaining a welcoming and organized office environment.

Key Responsibilities

  • Executive & Administrative Support
      • Provide direct administrative support to the President & CEO, including scheduling, coordination, and follow-up.
      • Support general office operations, ensuring smooth day-to-day execution across all functional areas.
      • Maintain organized filing systems, including monthly financial and accounting documentation.
      • Manage invoicing support, including tracking and follow-up on past due accounts.
      • Coordinate meeting logistics, including conference room scheduling and virtual meeting setup.
      • Maintain accurate and up-to-date records within the Chamber’s database (Personify).
  • Membership & Operations Support
      • Assist in managing accounts receivable across membership, events, sponsorships, and Workstream clients.
      • Conduct member outreach to support engagement, satisfaction, and retention, including ROI check-ins.
      • Support onboarding and quarterly engagement of new members, connecting them to programs, events, and committees.
      • Assist in the execution of member engagement strategies, including virtual events and communications.
      • Provide administrative support across internal teams, including data entry, reporting, and coordination.
  • Events & Program Support
      • Support planning and execution of Chamber events, ensuring a high-quality experience for attendees and partners.
      • Assist with event logistics, including materials preparation (nametags, signage, collateral).
      • Provide on-site event support, including registration, guest engagement, and event flow coordination.
      • Maintain event data, registration tracking, and attendee communications within the database.
      • Support virtual event execution, including hosting and technical coordination.
      • Assist in drafting and updating content for event promotions, including website, email, and social media.
      • Support sponsorship efforts by helping identify prospects and coordinating outreach materials.

 

Qualifications & Skills

  • Strong proficiency in Microsoft 365 (Excel, Outlook, Word, PowerPoint, Teams) and Zoom.
  • Experience with CRM or database systems; familiarity with Personify is a plus.
  • Demonstrated organizational and project coordination skills with strong attention to detail.
  • Professional presence with the ability to engage effectively with business leaders, members, and partners.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities in a fast-paced environment with minimal supervision.
  • Self-starter with a high level of accountability and follow-through.
  • Familiarity with social media platforms, including LinkedIn, Instagram, and Facebook.
